Job Summary:  The Sr. Facilities Manager is responsible for overseeing the management of facility preventive maintenance, facility equipment improvements, vendor management, disaster mitigation, as well as other duties for a portfolio of properties across the country. This role requires exceptional leadership, organizational skills, and the ability to ensure optimal tenant satisfaction, property maintenance, and financial success across all properties under management.

Responsibilities

Essential Functions:

  • Manage and lead a team of facilities professionals that oversees the day-to-day management of multiple facilities.
  • Build and maintain quality relationships with key customer stakeholders, internal team members, and external partner service providers.
  • Lead, coach, and mentor assigned facilities personnel to drive growth and development.
  • Manage KPI’s (Key Performance Indicators) across all areas of responsibility and develop action plans as needed to ensure we are meeting performance standards.
  • Develop and implement processes for preventative maintenance procedures, disaster recovery, and facility related safety protocols.
  • Develop strategies to improve overall reliability and safety of facility, personnel, and processes.
  • Ensure all facilities comply with all lease requirements, legal regulations, and environmental, health, and safety standards. · Responsible for assigning and monitoring work orders using work order management software to meet service level agreements (SLAs) · Negotiate contracts and manage relationships with third-party vendors, contractors, and service providers.
  • Assist in the development of capital planning reports for site level asset life cycle management.
  • Assist in site incident investigation, utilize structured problem solving to identify root cause of failures. · Act as point of contact between landlord and property owners for facility related issues and escalations.
  • Ensure seamless transition for new acquisitions, legacy site relocations, and de novo sites from project team turnover to facilities team.
  • Proven ability to analyze and improve processes to increase operational effectiveness, and to present data-based recommendations in support of business objectives.
  • Identify opportunities for growth, expansion, and improvements to optimize property operations and returns.

Qualifications

Required Knowledge, Skills, and Abilities:

 

  • Strong leadership and team management skills, with the ability to motivate and guide property management teams.
  • In-depth knowledge of property management principles, lease administration, financial analysis, and regulatory compliance.
  • Excellent communication, negotiation, and problem-solving abilities.
  • Proficiency in property management software, financial reporting tools, and Microsoft Office Suite.
  • Familiarity with local real estate laws, regulations, and industry best practices.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks effectively.

Required Education and Experience:

 

  • 5-7 years of experience in multi-site facilities management
  • 5 years of managing multiple personnel
  • Bachelor’s degree in business, Real Estate, Property Management, or related field.
  • Proven experience in property management, with a track record of managing multiple properties or a portfolio.

 

Physical Requirements:

 

  • Prolonged periods of sitting at a desk and working on a computer.
